How to Add One or More Residents to a Location

Introduction

There will be instances where a property needs a resident added to its location or an entire list of units. This document will demonstrate how to accomplish this in multiple ways: adding residents one at a time or adding multiple residents in bulk.

Step-By-Step

Property Manager Adding a Single Resident (Building Manager)

** These instructions can be followed internally OR by a property manager with access to their House Account login in Building Manager **


  1. Navigate to the “Recipients” tab on the Location’s Building Manager portal

  2. In the “Add New Recipient” form on the right side, enter the resident’s information:

    1. First Name, Last Name, Email, Phone, Unit

  3. Check the “Send Welcome Email” checkbox

    1. This will make the “Password” field disappear

  4. Click “Add Recipient”


Adding Multiple Residents in Bulk (Admin)

*** IMPORTANT NOTE: ALL Units must ALREADY be uploaded to the Admin location BEFORE residents are added - Reference THIS DOCUMENT for information on uploading Units ***


  1. Create a spreadsheet that contains the list of Residents to be added

    1. THIS DOCUMENT outlines the required formatting for the spreadsheet - it should include columns titled firstName, lastName, email, address (street address ONLY), address2 (unit number ONLY), and phone (optional)

  2. Download the completed spreadsheet as a CSV

  3. Go to Admin

  4. Select “Locations” on the left-hand side

  5. Search for the property by Property Name or Location ID

  6. On the Location page, navigate to the “Apartments” tab and click the “Import Customers CSV” button

  7. In the “File” field, upload the downloaded CSV of Residents

  8. Uncheck the “Dry Run Only” checkbox

  9. Click “Import”

Additional Education for Property Teams

  • There will be instances where a property team tries to add a new resident through their Building Manager portal and will get an error message - this usually happens because that resident’s email address is already tied to a User in our system, most likely from when this resident lived at a different property that also had a Luxer One system

    • In these cases, the property needs help from our Support team to update the User through Admin

    • For residents who have never had an account with us, property staff should add new residents themselves OR direct residents to luxerone.com/register to sign up themselves

  • Automatic integration with a property management software is always preferred to manually managing residents

Best Practices

  • If a Location is integrated, residents should not be added manually in the ways described in this document

    • Integration can be confirmed by the presence of a Feed Number on the left side of the Location’s Admin page:

  • ALL Units must ALREADY be uploaded to the Admin location BEFORE residents are added in bulk via CSV - Reference THIS DOCUMENT for information on uploading Units

  • NEVER add a single resident from scratch, especially if requested by the resident - ONLY respond to requests from verified property staff
